Enabling 'Recover Deleted Items' in Exchange Online

Encountering a greyed-out 'Recover Deleted Items' option in the Exchange admin center can be a hurdle, but it's one that's easily overcome with the right permissions. This post will guide you through the simple process of enabling this crucial feature in Exchange Online - fixing the Recover Deleted Items greyed-out issue.




Why is 'Recover Deleted Items' greyed out in Exchange Online?


In the Exchange admin center, if you're trying to restore deleted items and find the option is unavailable, it's a clear sign you need specific permissions. Let's resolve this and restore your access to this feature.


Enable 'Recover Deleted Items'


Step 1: Assign an Admin to the Discovery Management Role Group

  • Navigate to the Exchange admin center and log in with admin credentials.

  • Access 'Admin roles' by clicking on Roles > Admin roles.

  • Select 'Discovery Management' and add an admin as a member by clicking 'Add' after finding the appropriate user.


Step 2: Add the Mailbox Import Export Role to the Role Group

  • Within the 'Discovery Management' role group, switch to the 'Permissions' tab.

  • Look for the 'Mailbox Import Export' role, select it, and save your changes.


Confirming 'Recover Deleted Items' is Enabled


After implementing the steps, verify that 'Recover Deleted Items' is now active:

  • Log back into the Exchange admin center.

  • Go to Recipients > Mailboxes, select a mailbox, and navigate to the 'Others' tab.

  • The 'Recover Deleted Items' should now be selectable.
